Bedford County Government

Department: Bedford County Probation Full Time/Part Time: Full Time

Position: Office Assistant/Court Liaison Status: Non-Exempt

Summary: The Probation Department Office Assistant / Court Liaison performs administrative, financial, and accounting tasks for the department. The Office Assistant/Court Liaison is an entry level supportive position to the director of the department. Duties and responsibilities may include, but are not limited to clerical work and customer service. Court Liaison duties include maintaining communication with court personnel, signing up new clients for probation, and resolving questions or issues pertaining to current offender caseloads in court. This position reports directly to the department director.

  • Must be able to sit for long periods of time at a desk working on a computer
  • Must be able to use hands and fingers proficiently for frequenting typing tasks
  • Must be able to lift 15 pounds at a time
  • Strong visual and auditory skills required

Work Environment/Equipment:

  • Work environment is conducive to standard office noise derived from various office equipment including phones, copiers, fax machine
  • Work is performed primarily indoors
  • Employee will use computer, phone, copy machine, fax machine, and other modern day office equipment
  • At times for continuing education travel, to conferences may be required
  • Ability to attend meetings in the absence of the director

Essential Functions:

Essential and other important responsibilities and duties may include, but are not limited to the following:

  • Reports to all general sessions court dates as a representative of the probation department, signing up all new offenders on probation
  • Provides information to district attorneys for any in-court probation clients, helps maintain record keeping on in-court clients
  • Helps maintain absconder records, periodically helps in searching for information on clients
  • Receipts money from incoming online payments and money orders from in-office clients and mail-in clients
  • Opens office mail and receipts any incoming money orders
  • Balances & maintains deposit for distribution to Trustees office
  • Maintains front lobby client check-in process and coordinates clients to their perspective officer
  • Calls in to pickups for any drug screen labs that need to ship
  • Backup for administrative assistant duties (phone calls, computer tasks, emails)
  • Maintains closed client files, hardcopies
  • Flexible in speaking to probationers in lieu of officers unable to communicate with them due to absent, court, or other reasons. Low level questions like balance of probation fees, schedule of reporting, etc...
  • Helps maintain office and lobby cleanliness and organization
  • Maintain office outgoing mail from officers
  • Processes drug screen lab shipping

Additional Knowledge, Skills, and Abilities:

  • Proficient in typing and keyboarding
  • Proficient in math with the ability to receipt money and process credit card transactions and balance daily transactions efficiently
  • Proficient writing and short hand skills
  • Ability to multi-task
  • Excellent communications skills, both verbal and written
  • Must be organized and detail oriented
  • Ability to work well with others
  • Must be dependable and punctual
  • Ability to work independently with minimal supervision on assigned tasks
  • Proficient understanding of clerical procedures and systems such as recordkeeping and filing
  • Excellent interpersonal and customer service skills
  • Proficient in various software applications such as Microsoft Word and Excel, Go To Meetings, and various Google applications: Forms, Docs, Gmail, and Calendar

Minimum Qualifications:

  • High School Diploma or GED Equivalent
  • Associates/Technical Degree or higher in Business Administration preferred
  • 2-3 years office support in an Administrative role required
  • Data Experience preferred
  • Ability to successfully pass a drug screen, physical, and background check
